Reports to: COO with dotted line to the Head of Corporate Development
Purpose and scope of the role (to include management and budgetary responsibility): The Carbon Trust is an independent company funded by government whose mission it is to accelerate the move to a low carbon economy. This responsible and exciting role provides operational support to the COO and other Carbon Trust Directors – Chief Economist, Director Business Relations, Director Projects. As well as co-ordinating the COO’s day to day activities the role requires diplomacy and skill for liaising with diverse and influential senior decision makers both in government and in business. The position also offers the opportunity to be heavily involved in International Coordination which is led on a day-to-day basis by the Head of Corporate Development and championed by the CEO, FD and COO.
Main duties and responsibilities:
General PA Duties • Extensive diary management to include keeping the appropriate people informed of any alterations and timeframes and ensuring relevant paperwork is ready in good time for each meeting • Booking meeting rooms, projectors and lunch where necessary • Organising travel and accommodation • Fielding phone calls for the COO and directing appropriately • Checking emails and correspondence when absent • Sifting post and forwarding or drafting responses when appropriate • Expenses • Ensuring the required materials and information are in place for internal and external communications • Manage HR appraisal for direct reports for the COO • Manage and track any follow up to completion • Track needs from meetings
Analytical Research • Ad-hoc research support for corporate development activity
International coordination • Develop and manage Carbon Trust plan to coordinate our work on developing international growth opportunities working closely with the Head of Corporate Development, COO, FD and CEO • Act as a point of contact for international parties interested in the Carbon Trust and work with the Head of Corporate Development to decide how to take them forward • Plan and arrange trips to and delegations from interested countries • Coordinate stakeholder management plan in UK and internationally working closely with Marketing and Communications and the Head of Corporate Development • Take part in international trips to coordinate activity\logistics of the visiting group, to capture minutes and next steps, and to help development strong working relationships with international stakeholders • Once an international activity is up and running work with the responsible manager in London and the international team to coordinate business planning, financial and performance quarterly reviews, stakeholder management etc

Key skills • Ability to demonstrate a high level of discretion, integrity and diplomacy • Excellent communication and organisational skills • Ability to prioritise and multi-task • Experience of organising international activity e.g. visits. Ability to remain calm but firm in all situations • IT – advanced skills in Microsoft Word, PowerPoint and Outlook, intermediate in Excel (use of standard Carbon Trust templates)
Qualifications and experience (required/desired): • Educated to a minimum of A Level standard • Significant PA experience at a senior level • Experience of co-ordinating internal coordinating complex activity involving multiple senior stakeholders
